Hints for using YouSendIt for file transfers from Bob O'Hara
We use YouSendIt (YSI) to store large files online, ready for our clients to download.
Most of the image files we send to clients are too large to be attached to emails (unless only one or two images are required) so we send them to our account on YSI and our client is then notified that the file is ready for download.
This has the advantage of allowing the clients to download at a time convenient to them (perhaps when Internet activity is light and speeds are better).
Once your images are ready we will upload them to YSI which will trigger an email being sent automatically to you.
The email you receive will be from our account with YSI and will look something like the following:
[Bob O'Hara via YouSendIt] delivery@yousendit.com
with the subject line: YouSendIt File Delivery Notification.
and it will contain a link to the YouSendIt website and, specifically, your file.
If this is your first time on YSI you will be asked to create an account (this is free) by supplying your email address (to match with our contact details for you) and a password of your own choice.
Once the account is created you will be able to see your file in the Inbox and by clicking on the links, can download it to your hard disk.
The images are sent in Zip format (so we can send them as one file). The images are NOT compressed in this process and are still at the same resolution as they were when taken by our digital camera. You will need a Zip program to extract them to another folder on your hard disk. If you don't have a zip program see the web for free or shareware programs such as WinZip, CuteZip etc.
We zip the images into meaningful folder names. It is suggested you create a folder on your hard disk with the same name and extract the files into that folder, so you will easily be able to find them later.
To view the images you can use any picture viewing program, even the default Windows one, but for really great control over your images you might like to look at the free Google program Picasa. Picasa allows you, among its many advanced benefits, to add comments or keywords to images, so that you can find images later simply by typing in the keyword. Obviously the potential for adding detailed descriptions of the contents of an image is not lost on Picasa users. Go to [Google/ More/ Google Tools], and read the information there about Picasa.
The following letter from a recent new client [thank you Sienna] may help to explain what is involved in using YSI to download images from us:
"With YSI, I needed to set up an account to access the files, even though I was receiving rather than sending. It did require [me to enter] an email address and password to do that.
Setting up the account took very little time and was activated very quickly by them sending me an email to my email address. There was no charge to set-up the account, however I noticed if you send files, you do get charged.
Once that was done, I went back to the site - logged on using my email address and password, which took me to a home page with folders on the side: ie inbox, outbox, sent etc and the files you had sent were in my: inbox.
I clicked on each file and downloaded it, which took a while. Once the file was downloaded on to the hard drive, I clicked on it and a Microsoft office unzip files box came up and guided me through the unzip process."
[You can use Winzip, Cutezip or any other zip program to extract the files. - Bob]
Please note that files are automatically deleted from YSI after seven days, whether you have downloaded them or not. If you miss collecting your file, please let us know and we will send it to YSI again.
Should you have any questions before or during using YSI, please don't hesitate to ask. We have chosen this method of file delivery, after many tests, as the most efficient and immediate way of delivering your valuable research material to you as quickly and painlessly as possible. We expect it to work well for you, as it has for many clients who already use it.
Kindest regards
Bob
